The Quote That Gets Approved
Most contractors think a municipal quote is about price.
It isn’t.
A municipal quote is an administrative document first and a pricing document second.
Finance staff, managers, and sometimes even auditors may all review it before anyone approves the work. If it looks incomplete or unprofessional, it creates questions—and questions create delays.
Three details contractors commonly miss:
List GST/HST as a separate line item. Municipalities often claim Public Service Body rebates and need to see the tax clearly identified.
Include a quote validity period. Internal approvals can take time. A validity date protects both you and the municipality if prices change.
Address it to a specific person. An “Attention: Parks Superintendent” or “Attention: Facilities Manager” line makes it immediately clear who requested the quote and helps it reach the right desk.
None of these things is difficult.
